THE ROLE

This position provides administrative support to Project Managers on multiple NEI projects.

RESPONSIBILITIES

Essential duties and responsibilities include but are not limited to the following.

  • Work closely with and provide customer service to internal Project Management Team, Architects, Subcontractors and others associated with designated projects
  • Organize and distribute documents related to construction projects including but not limited to subcontractor insurance certificates, contracts and change orders
  • Upload project specifications
  • Build and upload submittal registers
  • Process and distribute submittal data to applicable project team members
  • Coordinate subcontractor applications for payment for internal accounting processing; track subcontractor payment lien waivers
  • Assist with compilation of monthly owner meeting reports
  • Manage project incoming and outgoing phone calls, emails, filing and archiving of finalized project documents
  • Completion of all requirements to start up, track progress and close out assigned projects

QUALIFICATIONS

  • Candidate must possess NEI’s Core Values
  • Must be highly organized, capable of multi-tasking; able to prioritize in order to meet tight deadlines
  • Team player with strong communication skills, proactive approach, willingness to work independently and produce results in a high-paced environment
  • Capable of coordinating and communicating well and in a professional, positive manner with subcontractors, architects, engineers, project owners, and government agencies
  • Proficiency with Word, Excel and Outlook in a work setting required
  • Experience with Procore and Sage Construction Software preferred
  • Familiarity with the construction industry is required

WORKING CONDITIONS

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear; perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. The employee is frequently required to stands; walk; and reach with arms and/or hands. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus. The employee will spend their time in an office environment with a quiet to moderate noise level. Job site walking.
